1. Introduction

Estimonia ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our mobile application and related services.

2. Information We Collect

2.1 Images and Photos

When you scan an item, we collect the photos you upload or capture using your device's camera. These images are used solely to generate value estimates and are stored securely on our servers. The app requires camera and photo library access permissions to provide this functionality.

2.2 Device Information

We may collect device identifiers (such as device type, operating system version, and unique device ID) for anonymous session management, app functionality, analytics, and to improve user experience.

2.3 Account Information (Optional)

If you choose to create an account, we collect your email address and optionally your name. Account creation is optional; you can use the app anonymously with session-based storage.

2.4 Contact Information (Opt-in Only)

If you opt-in to selling an item, we collect your email address and optionally your phone number. This information is only used to contact you regarding potential sales opportunities.

2.5 Usage Data

We collect information about how you interact with the app, including features used, scan frequency, and app performance data. This helps us improve our services and fix technical issues.

3. How We Use Your Information

  • To provide AI-powered value estimates for your items
  • To maintain your personal collection within the app
  • To contact you only if you opt-in to selling
  • To improve our services (using anonymized data)
  • To provide customer support and respond to your inquiries
  • To detect and prevent fraud, abuse, and security incidents
  • To comply with legal obligations and enforce our terms

4. AI Processing and Third-Party Data Sharing

What Data Is Sent to AI Services

When you scan an item, the following data is sent to third-party AI service providers for analysis:

  • Photos you upload or capture — the images of items you submit for valuation
  • Analysis instructions — system prompts that guide the AI in identifying and estimating the value of your item

We do not send your name, email address, device identifiers, or any other personal information to AI service providers.

Who Are the AI Service Providers

We may use one or more of the following third-party AI service providers to process your images and generate value estimates:

These providers process your images solely to generate the analysis response and are bound by their respective data processing agreements and privacy policies. We may change or add AI providers in the future and will update this policy accordingly.

Your Consent

Before your first scan, the app asks for your explicit consent to send your photos to third-party AI services. You can use the app to browse your collection and access other features without providing this consent, but scanning and valuation features require it. You may withdraw your consent at any time by contacting us.

Sharing With Auction Houses and Dealers

This only happens if you ask us to. When you submit a request to sell an item — by using the “connect me with auction houses” option after a valuation, or the partner contact form in our directory — you are asking us to introduce you to businesses that may want to buy or consign your item.

To make that introduction, we may share the following with a small number of relevant auction houses and dealers:

  • Your name, email address and (if you provided it) phone number
  • The photographs of the item you submitted
  • The AI valuation, category and item details
  • Your country, postal area and stated selling timeline

Dealer digests. With the same consent, we may also feature your item — its photographs, description and estimated value range, but never your name or contact details — in periodic email digests sent to vetted professional buyers and dealers. If a dealer is interested, they ask us for an introduction and we only connect you if you approve or have asked to be connected.

Public listing (optional, separate consent). If — and only if — you tick the separate optional box, we may also list the item publicly on Estimonia (photographs, description and value range only, never your name or contact details) so interested buyers can request an introduction. This is never pre-ticked and is not required for any other service. You can ask us to take a listing down at any time.

We record your consent. When you tick a consent box we store the exact wording you agreed to, along with the date and IP address. We do not share your details with any partner — and do not list any item publicly — unless the matching consent is on record.

We may be paid for these introductions. Auction houses and dealers may pay us a fee for featured placement in our directory or to receive seller introductions. This never changes your valuation, and you are never charged anything.

You can withdraw at any time. Email [email protected] or contact us and we will stop sharing your details and ask any partner who received them to delete their copy. Withdrawing does not affect introductions already made.

Other Third-Party Sharing

We do not sell your personal information to third parties in the sense of trading it to data brokers or advertisers. Beyond the AI service providers described above and the seller introductions described immediately above (which only happen at your request), we may share your information only in the following limited circumstances:

  • Cloud Infrastructure: We use secure cloud hosting services to store data and run our application.
  • Analytics Services: We may use analytics tools to understand app usage and improve performance.
  • Legal Requirements: We may disclose information when required by law, court order, or to protect our rights and safety.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.

5. Data Storage, Retention, and Security

Your data is stored on secure servers in the United States and European Union. We implement industry-standard security measures including:

  • Encryption in transit (TLS/SSL) and at rest (AES-256)
  • Regular security audits and vulnerability assessments
  • Access controls and authentication mechanisms
  • Secure backup and disaster recovery procedures

Retention: We retain your data for as long as your account is active or as needed to provide services. If you delete your account, we will delete your personal information within 30 days, except where we are required to retain it for legal compliance (e.g., tax records, fraud prevention).

Selling requests: If you submit a request to sell an item, we keep that request and its consent record for up to 24 months so we can follow up on an introduction and demonstrate that consent was given. You can ask us to delete it sooner at any time.

6. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Deletion: Request deletion of your personal information (subject to legal obligations)
  • Portability: Request a copy of your data in a structured, machine-readable format
  • Objection: Object to processing of your personal information for certain purposes
  • Withdraw Consent: Withdraw consent for data processing where we rely on consent
  • App Permissions: You can manage camera and photo library permissions in your device settings

To exercise these rights, please contact us. We will respond to your request within 30 days.

7. Children's Privacy

Estimonia is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us, and we will delete such information within 30 days.

8. International Data Transfers

If you are located outside the United States, please note that we may transfer your information to and process it in the United States and other countries. These countries may have data protection laws different from your country. By using Estimonia, you consent to such transfers. We use appropriate safeguards such as Standard Contractual Clauses for EU data transfers.

9. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to know what personal information we collect, use, and share
  • Right to delete your personal information (with certain exceptions)
  • Right to opt-out of the sale or sharing of personal information
  • Right to non-discrimination for exercising your privacy rights

A note on “sale” under the CCPA: the CCPA defines a “sale” broadly, to include disclosing personal information to a third party for valuable consideration. Because auction houses and dealers may pay us a fee to receive seller introductions, that introduction may count as a “sale” or “sharing” under California law — even though it only ever happens when you explicitly ask to be introduced. We do not disclose your information to data brokers or advertisers, and we never share the data of anyone who has not opted in. 10. European Privacy Rights (GDPR)

If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have rights under the General Data Protection Regulation (GDPR), including the rights listed in Section 6 above. Our legal basis for processing your data includes: consent, contractual necessity, legal obligations, and legitimate interests.

Legal basis for seller introductions: Where we share your details with an auction house or dealer, our legal basis is your explicit consent (GDPR Article 6(1)(a)). We store the wording you agreed to, the timestamp and the IP address so that consent can be demonstrated. Consent is entirely optional, is never a condition of using the valuation tool, and can be withdrawn at any time without affecting the lawfulness of processing carried out before withdrawal.

To withdraw consent, request a copy of your data, or ask us to erase it, email [email protected]. We respond within 30 days.

11. Cookies and Tracking Technologies

The mobile app uses minimal tracking technologies. We may use session tokens for authentication and app functionality. We do not use third-party advertising cookies in the mobile app. For information about cookies on our website, please see our Cookie Policy.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting a notice in the app or sending you an email (if you have provided one). Your continued use of the app after changes are posted constitutes acceptance of the updated Privacy Policy.
